Manage billing
Change a Bilbis subscription, open the billing portal, and understand billing permissions.
What this means
Managing billing means changing the organization's subscription or opening the billing portal for payment and invoice tasks.
Bilbis separates billing review from billing changes. Many users may need to understand plan and usage, but subscription actions are limited to organization admins and owners.
Before you start
You need:
- Admin or owner access in the organization.
- The correct organization selected.
- Billing configured for the current Bilbis environment.
If you are not an admin or owner, plan cards show admin-only messaging instead of checkout actions.
Change a self-serve plan
Self-serve checkout is available for Starter, Team, and Business plans.
- Open Billing.
- Review the current plan and usage.
- Choose Monthly or Annual.
- Select the plan you want.
- Continue through checkout.
- After checkout succeeds, Bilbis refreshes the Billing page and shows the updated subscription.
Trial organizations can choose any self-serve paid plan. Existing paid organizations see upgrade options and their current plan.
Open the billing portal
Use Manage billing when you need to manage subscription details outside the plan cards.
Common reasons include:
- Updating payment method.
- Reviewing invoices.
- Changing billing details.
- Handling a past-due subscription.
- Changing a subscription that is already active.
The button opens the external billing portal. If no portal URL is returned, Bilbis shows an error.
Enterprise billing
Enterprise plans are not changed through self-serve checkout. The Billing page explains that Enterprise contracts are managed offline.
Contact support to:
- Add seats.
- Change tier.
- Renegotiate terms.
- Update Enterprise contract details.
What happens after checkout
After a successful checkout, Bilbis returns to the Billing page with a success state. The app refreshes the billing snapshot so the current plan, usage, and available plan actions update.
Problems and fixes
| Problem | What to check |
|---|---|
| The checkout button says Admin only | You do not have permission to change the subscription. Ask an owner or admin. |
| Checkout does not open | Billing may not be configured in the current environment, or the checkout request failed. Try again or contact support. |
| Manage billing does not appear | The organization may not have a subscription status that supports the portal, or you may not have admin access. |
| The subscription did not update after checkout | Refresh Billing. If it still looks unchanged, check whether checkout completed successfully. |
| You need to downgrade | Use Manage billing for changes not shown as upgrade plan cards. |
